To provide exceptional customer service at Jawacdah Farm, an upscale lodging, conference, and fine dining facility, located in Enochsburg, Indiana. Jawacdah Farm is comprised of 127 acres, outdoor recreation, 16 buildings with 66 guestrooms, 5 dining rooms, 8 conference rooms and public entertainment space totaling 63,610 square feet. The Scheduler is responsible for scheduling and booking all Customer groups and Individual Travelers. Manages meetings < 20 and all respective details of; overnight accommodations, meeting room set-ups, audio visual requirements and any special requests. Independently manages all reporting aspects, admin duties, and assists Meeting Planner as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES: – Other duties may be assigned:

  • Verify availability of space for BCC or HRC customer trip and book according to guidelines; maintain changes/cancellation for trips in Farm database. Obtain pertinent information from HRC visitation planner for customer trip information at Farm

  • Distribute customer Itineraries to BCC and HRC by Friday each week, to appropriate HRC & BCC departments. Daily coding of room keys and printing of welcome letter cards for BCC customer groups

  • Distribution of Surveys to Meeting Sponsors, Meeting Attendees and Individual Travelers and data collection and distribution of information.

  • Accurate daily coding of guestroom keys and itineraries for distribution to guests.

  • Accurately book all Individual Travelers “IT’s” through T&T, coordinating booking of guestroom, meals per policy. Coordination of moves from local Hotel to Jawacdah Farm.

  • Accurately book all ELT Individual Traveler accommodations w/ respective Admins and distribution of itineraries/changes via e-mail or phone. Maintain SOP’s for HRC & BCC Travel Policies.

  • Assist with Meetings, Special Events and Individual Traveler bookings in Farm database; provide back-up for meeting planner and customer service supervisor.

  • Manage meetings < 20 and all respective details of; overnight accommodations, meeting room set-ups, audio visual requirements and any special needs.

  • Assist meeting planner with details and logistics of Large meeting events

  • Responsible for greeting guests/visitors/vendors at front desk and communicating and coordinating with internal departments; special food orders, special requests and room set-ups, equipment needs, and deliveries etc.

  • Answering of phones in a professional manner and accurately paging and taking or delivery of messages

  • Ordering and stocking of supplies for the Main Office and Business Center, BCC welcome cards, chocolate caskets and posting of all internal information on display boards.

  • Maintain Recipe files, training manuals, Jawacdah Farm database, Jawacdah Farm intranet site and housekeeping Inventory forms/reports

  • Maintain virtual desktops for employee use and assistance to staff in use of applications.

  • Perform all general Administrative responsibilities

  • Responsible for lost & found items for mailing

  • Perform Tours of Farm facilities as requested

  • Able to anticipate and identify problems or potential problems an make appropriate decisions.


  • Minimum of a High School Diploma or GED required

  • 3-5 years of relevant work experience in the Hospitality or Customer Service industry

  • Demonstrates strong analytical and problem-solving skills

  • Excellent written and oral communication skills with ability to present to small groups

  • Team player, detail oriented, and excellent organization skills

  • Proficient use of personal computer with working knowledge of Windows based programs

  • Ability to work flexible hours

  • Ability to maintain confidential information
